General Terms

  1. General.
  • This policy covers UCI World championships Northern Star Tepees Glamp Camp 2023 . In special circumstances, they may be altered or added to by local rules, made necessary for good management or because of agreements, planning consents, etc. entered into by Northern Star Tepees.
  • We ask all of our guests to comply with our policies. If you or your party do not comply with the policies we may have to ask you to leave the site.
  • The use of threatening behaviour and/or foul and abusive language will not be tolerated and will result in the offender being asked to leave the site by our security team.
  • It is a large site with many users so we ask that you please consider other users on the site and conduct yourselves at all times with due regard to the health and safety of yourselves and others and  please read and adhere to any signage on the site.
  • The maximum stay allowed is from Friday 4th August 10am through to Sunday 13th August 11am , after which time your pitch must be vacated.
  • We are unable to provide electric hook-up points.
  • Personal alcohol must not be consumed
  • Please use the bins provide and do not leave rubbish on or around your pitch. It is prohibited to leave any rubbish other than general everyday waste.  Items  such as discarded camping equipment ect are not considered to be general everyday waste and should be removed.
  • Toilets and showers will be checked multiple times per day on a roster system. Please be respectful and clean after use. If at any time you feel the toilets are not “up to standard “ than please notify a member of staff immediately so we can address the situation
  • Anyone participating in illegal activity, abusing staff or other campsite guests will be reported to police accordingly and removed from the property.

 

  •  
  1. Check In.
  • Check in is from 11am on day of arrival and check out is before 10am on day of departure. Please advise us if your are checking in after 9pm so we can make arrangements accordingly
  • On arrival, visitors should make contact with the Northern Star Tepees check in team, or if an agreed “out of hours” check in then our Security team.. Admission to the site is at the discretion of Northern Star Tepees
  • In the event of poor ground or weather conditions, a pitch may not be available. Northern Star tepees will endeavour to advise you in advance should this occur but no responsibility can be accepted if this is not possible.
  • Please familiarise yourself with the site regulations and Health & Safety information  as soon as your arrival on site

 

  1. Pitching .
  • On arrival, the Northern Star Tepees team will allocate  your pitch and answer any queries you may have. 
  • Motorhome & campervans -we will enforce the four meter rule between live in vehicles, excluding guide ropes. You can camp inside your awning and next to your motorhome, please do so in accordance to the parking team's instruction.
  • The "four metre rule" means that live in vehicles such as motorhomes and caravans must be four metres apart from adjacent units in order to protect you against the spread of fire. At all times there must be a clear 7.5 meter wide road way to allow emergency vehicle access.
  • You may camp next to your vehicle on a tent pitch, please do so in accordance to parking marshal's instruction and within your pitch space. Additional car parking in the main car park can be purchased when booking your slot for £10 per night
  • If you want to pitch with your friends please advise us on check in and we will try to accommodate you. Unfortunately we can not have camping tents in the same field as motor homes or vans due to local regulations
  • Vehicles on the site should be parked with their hand brake on and in gear.
  • The transfer or sub-letting of pitches is not allowed.
  • Do not move or adjust any markers that are laid out to allocate pitch space.
  • Gazebos / E-zee-ups are not permitted.
  • The pitch (along with any ancillary equipment) must fit within the confines of your pitch whilst maintaining the four-meter rule.
  • Barbecues must be purpose-built and portable, standing clear of the ground. There must be no possibility of damage to the ground. Only gas or a charcoal barbecues should be used.
  • Barbecues must be fully extinguished and cold before disposing of in the bins provided. Anyone causing a bin fire will be billed accordingly.
  • Campfires are not permitted.
  • Fireworks are not permitted.
  • Never use or store a used BBQ in your tent, sleeping or living quarters. Please be aware of Carbon
  • Pets- unfortunately no pets are allowed on site

 

  1. Recreation.
  • The flying of model aircraft, drones and kites are prohibited.
  • It is the responsibility of parents and guardians to ensure children are supervised at all times, whilst on site.
  • The releasing of sky lanterns with naked flames is not permitted.
  • Please ensure all children or vulnerable persons are supervised at all times and aware of any dangers.
  • Ball games are not permitted in the main camping or parking areas

 

  1. Noise.
  • Noise must be kept to a reasonable level at all times so as not to disturb the enjoyment of others
  • Between the hours of 23:00 and 07:00 all music, lighting and generators must be turned off.
  • Generators may be used, we may ask you to refrain from using them if they cause a disturbance. Please ensure they are fenced off and not accessible to the general public. Also, ensure that any fuel is kept in the correct container for its content and that it is kept locked away and out of direct sunlight. Please make sure a competent person refuels the generator (when cold) and according to the manufacturer's instructions

 

  1. Vehicles.

 

  • Vehicle movement on the site is prohibited between 22:00 and 07:00. This is for your safety. If you do need to leave in an emergency, please contact a member of our 24hr security team and they will assist you in your departure.
  • The local area will be extremely busy, please try to use the courtesy bus, cycle or walk as this will be the quickest way to events and local shops ect
  • Vehicle drivers, motorcyclists and cyclists are required to adhere to the Site's 5 mph speed limit and follow any one-way systems in place.
  • All cycles should have appropriate lighting if used at a time when it should be required.
  • Essential repairs can be carried out so that an unserviceable vehicle can leave the site, however, general maintenance and servicing is not allowed.
  • Drivers of vehicles, including motorcycles, must hold a full and current driving licence and a road fund licence in order to drive their vehicle at the venue.
  • Ebikes that are chipped to exceed the legal speed limit are not allowed to be used onsite.
  • Mini motor-bikes are not to be driven around the event site.
  • Once your vehicles are parked up, that vehicle must only be driven when you are exiting the venue.
  • Please don't lock your bike to the roof or the rear of your vehicle. Lock it securely inside your vehicle with D Locks and Cable Locks (around car seat frames etc..) if possible. Remember: Out of sight is out of mind.

 

  1. Sanitation.
  • Chemical toilets must only be emptied at the chemical disposal point, using only water from that source to rinse and clean them out. This will be pointed out to you on check in.
  • To avoid possible damage to sewerage systems we support the use of biodegradable chemical fluids that do not affect the natural bacterial balance within the system.

 

  1. Your Departure.
  • Camping and Parking Pitches must be vacated by the allocated time
  • If you leave a camping unit or other property on the site without prior arrangement The Northern Star Tepees Team shall be entitled to dispose of such property.

 

  1. Lost Property.
  • All items of lost property will be retained for one week. Items not claimed after this period will be donated to a local charity this includes any money. Any items that are not of use to any of the local charities will be disposed of.
  • Anything, where the owner is readily identifiable will be either directly returned to the owner if still on site or contacted if possible. If it is not possible to contact the owner the items will be passed to the Police.
  • Owners are responsible for the cost of reclaiming their goods.
  • Northern Star Tepees will not accept responsibility for any loss or damage to the property of the visitor, including personal belongings, cash, jewellery, bicycles and motor vehicles, however, caused
  • Anyone caught tampering with onsite equipment will be reported to the Police for criminal damage and will receive a lifetime ban from our events. You will also be invoiced for any damage.

Northern Star Tepees Terms and Conditions for bookings made online

Please Read this Carefully Before Agreeing.

The Client, by booking online agrees that they accept the conditions of the rental agreement stated below.

Making your booking 

  • You must be at least 18 years old at the time of booking. By making the booking, you confirm that you are authorised to make the booking.  
  • You are responsible for making all payments to us.  
  • You must ensure that all the information you provide us in connection with your booking is true, accurate, current, and complete, if any of your details change, you must promptly update your details by contacting admin@northernstartepees.co.uk
  • If you or any member of your party has any medical problem or disability that may affect your booking, please inform us before you confirm your booking and give us full details in writing. 

Pricing  

  • We keep the price charge by Northern Star Tepee under constant review and the prices of unsold accommodation may be increased or decreased at any time. We will confirm the price of your booking when you make it. As changes and mistakes can occur, you must check the price and all other details of your chosen accommodation at the time of booking. 
  • All prices quoted or otherwise given to you include all charges and any taxes. Any relevant variations in the tax rate or government charges may result in variations of the sums due for your booking and you may be required to pay any additional taxes that arise after your booking has been confirmed.  

Changing your booking

  • If you want to change any detail of your confirmed booking, you must notify us via admin@northernstartepees.co.uk as soon as possible, and we will do our best to rearrange the changes.  
  • Changes can only be accepted with the Owner’s agreement. We cannot guarantee that the owner concerned will be able to meet your request. Additional charges may apply.  

Cancellation Terms:  

  • If you must cancel your booking, please inform us in writing. The full amount will be taken at the time of booking, and if you are cancelling after then, you will be required to pay 50% of the booking up to 48 hours before the event, and 100% of the amount thereafter.
  • Northern Star Tepees retain the right to cancel a booking if they believe the wind speed, ground holding conditions and site exposure result in an unsafe environment for the tents and hirer on the day of the event.  A full refund will be made to the hirer. No compensation to be offered as a result.  

Cancellations due to government public health measures: 

  • If you must cancel your booking because UK government public health measures imposed mean it is unlawful to travel to or to make use of accommodation you booked, you may choose to: 
  • Transfer you booking to a later date free of charge. Subject to availability – you will have to pay any difference in price if the cost of the new booking is higher or reimbursed if the cost is lower.  
  • Obtain a refund of the amount already paid by you for the booking.  
  • You will need to contact Northern Star Tepees to access these options.  

Events beyond our control  

  • Except where otherwise expressly stated in these booking conditions Northern Star Tepees will not be liable or pay you compensation if our contractual obligations to you are affected by ‘events beyond our control.’ For the purposes of these booking conditions, events beyond our control mean any event beyond our or the owner’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken.

    Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of a serious disease, natural disasters such as floods, earthquakes or weather conditions which prevent you from travelling to the venue. The act of government or other nationals or local authority including port or river authorities, industrial dispute, labour strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events outside our or the owner’s control.  

Damage  

  • You are responsible for and agree to reimburse to Northern Star Tepees all costs incurred by the owner and/or Northern Star Tepees as a result of any breakage or damage in or to the accommodation which is caused by you or any members of your party or any other persons invited into the accommodation by your party. We can request an extra payment from you to cover any such relevant costs. 
  • We expect the accommodation to be left in a reasonably clean and tidy state on departure. If, in our opinion, additional cleaning is required, you will be liable to pay for the cost of cleaning. 

Privacy 

  • By submitting your personal information to us, you agree to our use of the information. We will only share your personal information with the members of staff working at Northern Star Tepees for the purpose of the provision of the booking.  

Other terms  

  • Any dispute, claim or other legal matter which may arise in relation to your booking will be governed by English law and you agree that any dispute will be dealt with exclusively by the courts of England and Wales.  
  • We will accept no liability or responsibility for any damages caused to you including; costs, losses, claims, expenses, demands and proceedings including your property, any third party and their guests, or any consequential loss in these regards. 
  • Our tents are strictly non-smoking, and a cleaning charge will be applied to any severely damaged tents.   
  • We also ask that there are no naked flames under any circumstances in the tents and no fires within 15m of the tents.
